Customs Clearance Company in Vietnam – Fast & Compliant
Every import and export shipment crossing Vietnam’s border gates must complete customs clearance — a specialized process built on tax law, HS code classification, VNACCS/VCIS electronic filing and dozens of supporting documents. A single error on a declaration can hold your cargo at the port, triggering demurrage, detention and administrative penalties.
AlphaTrans (An Pha Tran Trading and Transport Co., Ltd.) is a licensed customs broker in Vietnam, providing end-to-end clearance for importers and exporters at Ho Chi Minh City, Hanoi, Hai Phong, Da Nang and Binh Duong. Our teams handle thousands of declarations every month, and because we bundle customs with our own international sea freight and air freight services, you get one point of contact for the entire chain — fewer vendors, fewer document mismatches, faster releases.
1. What Is an End-to-End Customs Clearance Service?
An end-to-end customs service (customs brokerage) means you authorize a specialized logistics company to manage all customs procedures on your behalf: document verification, HS code lookup, VNACCS/VCIS electronic declaration, inspection handling and final cargo release.
There are two legal models in Vietnam:
| Option 1: Declaration Service | Option 2: Customs Brokerage Agency |
How it works | You issue a letter of introduction; our staff file under your company’s name | AlphaTrans files under our own Customs Agency code and digital signature |
Legal responsibility | Remains with your business | AlphaTrans takes direct legal responsibility before Vietnam Customs |
Digital signature token | Yours is used | Yours is fully protected — never shared |
Best for | Routine shipments, maximum flexibility | Foreign traders, risk-averse enterprises, complex regimes |
Note for foreign companies: entities without a registered subsidiary or branch in Vietnam cannot transmit VNACCS declarations directly. Option 2 (or an Importer of Record arrangement) is the legal route — AlphaTrans provides both.
2. Why Outsource Instead of Declaring In-House?
Many SMEs start by handling customs internally to save cost. In practice, hidden costs accumulate:
- Constantly changing regulations. Circulars, decrees, tariff schedules and specialized-inspection lists from multiple ministries change every year. Our team tracks updates daily.
- Red Channel risk. A physical inspection means extra handling fees, container transfers and 3–7 days of delay. Experienced brokers declare data accurately to avoid unnecessary triggers.
- HS code errors cut both ways. Misclassification means either tax arrears plus penalties, or overpaid duty. Correct classification takes hands-on industry experience, not an online lookup.
- Document mismatches. Invoice, packing list, B/L, C/O and inspection certificates must match in every figure and description. One mismatch halts the shipment.
- Internal resource drain. Staff hours lost at ports and counters are hours not spent on your core business.
In-House vs. AlphaTrans End-to-End Service
Criteria | In-house declaration | AlphaTrans end-to-end |
Personnel cost | Fixed salary $600–$1,000/month | Pay per shipment, zero fixed overhead |
Clearance time | Depends on staff experience | Export within 1 business day (contract commitment) |
HS misclassification risk | High | Low — specialists with 7–20 years’ field experience |
Restricted/conditional goods | Requires niche ministry knowledge | Full licensing handled end-to-end |
Hidden costs | Hard to predict | No fees outside the contract |
Coverage | Usually one local port | Nationwide: Cat Lai, Cai Mep, Hai Phong, Noi Bai, Da Nang, land borders |
3. Our Customs Clearance Capacity
Unlike sub-agents who outsource paperwork, AlphaTrans controls its own assets and staff across Vietnam’s main logistics corridors:
- People: 350 full-time employees; senior customs managers with 20+ years of hands-on experience each.
- Fleet: 65 container tractor trucks, 200 trailers, 25 small trucks (500 kg–5 t) — clearance and delivery under one roof.
- Yards: 3,000 m² at Tan Phu Trung IZ (Cu Chi, HCMC) and 3,000 m² at VSIP 2 Extension (Binh Duong).
- Network: 7 offices in Vietnam — HCMC (HQ), Hanoi, Hai Phong, Da Nang, Binh Duong, Dong Nai, Dung Quat — plus 1 office in Phnom Penh serving Vietnam–Cambodia cross-border transport.
- Certification: ISO 9001:2015 (No. 1213612720); brokers formally certified by the General Department of Vietnam Customs.

4. The Three VNACCS Clearance Channels
Vietnam’s risk-management system automatically routes every declaration into one of three lanes:
Channel | Meaning | Typical time | AlphaTrans action |
🟢 Green | Exempt from inspection — automatic release | 1–5 minutes | Pay taxes, coordinate immediate pick-up |
🟡 Yellow | Document review required | 1–4 hours | Present the file, clarify technical data with officers |
🔴 Red | Document review + physical cargo inspection | 1–2 business days | Register inspection slot; our port staff attend the physical check |
Pro tip: most Yellow-to-Red escalations come from minor paperwork mismatches. Our pre-declaration audit checks every figure across the document set before transmission, keeping your Red Channel probability to a minimum.

6. Taxes and Duty Frameworks
All goods entering or leaving Vietnam clear customs electronically via VNACCS. Three basic taxes may apply, computed as:
Total import duty liability = Import Tax + VAT + SCT + EPT
(VAT: Value Added Tax; SCT: Special Consumption Tax; EPT: Environmental Protection Tax — each HS code carries its own rates.)
Preferential rates apply to goods originating from Vietnam’s FTA partners (ACFTA, RCEP, EVFTA, CPTPP, AJCEP, VJEPA, VN-EAEU…) with a valid C/O. Typical tax-exempt cases include temporary import for re-export, processing contracts, and goods imported as fixed assets for incentivized or ODA-funded investment projects.
7. Our 5-Step Clearance Process
- Receipt & consultation (within 2 working hours). Send cargo details via Zalo/email; we reply with the proposed HS code, MFN and FTA duty rates, document checklist and a transparent quote.
- Document verification. We cross-check invoice, packing list and B/L for 100% consistency and resolve missing permits before transmission.
- VNACCS transmission. Declaration drafted, internally QC-checked, then filed electronically.
- Channel resolution. Green: immediate release. Yellow: we present and defend the file. Red: our port staff attend the physical inspection with customs officers.
- Release & delivery. We pay duties and port fees on your behalf, complete release procedures, and deliver by our own fleet to your warehouse — then archive records and support any post-clearance audit for up to 5 years.
8. Service Costs (Reference, July 2026)

Export declaration — sea | 800,000 – 1,500,000 / declaration |
Import declaration — air (SGN/HAN) | 1,000,000 – 2,500,000 / declaration |
Export declaration — air | 700,000 – 1,200,000 / declaration |
FTA preferential C/O application | From 500,000 / set |

11. Frequently Asked Questions (FAQ)
Q1: How long does customs clearance take in Vietnam? Green Channel: 1–2 hours. Yellow Channel: 4–8 working hours after documents are submitted. Red Channel: 1–2 business days depending on the port’s inspection schedule.
Q2: Can a foreign company without a Vietnam entity declare customs directly? No. Foreign entities without a registered subsidiary or branch in Vietnam cannot sign or transmit VNACCS declarations. You must work through a licensed customs broker such as AlphaTrans, or use our Importer of Record (IOR) framework.
Q3: What documents do I need to prepare? At minimum: Commercial Invoice, Packing List, Bill of Lading (or AWB), and a Certificate of Origin if you claim FTA duty reductions. Regulated goods additionally need ministry permits or test results.
Q4: What are the rules for importing used machinery into Vietnam? Used machinery and production lines must generally not exceed 10 years from the manufacturing date and must meet safety, energy-efficiency and environmental standards. We process age verification and technical conformity certification directly at the port.
Q5: What triggers a shipment into the Red Channel? Common triggers: new enterprise profiles, high-risk origins, declared values below the customs price database, and mismatches between B/L weight and packing list data. A rigorous pre-shipping document audit is the best prevention.
Q6: Can a newly established company use your services? Yes. We regularly help first-time importers/exporters set up VNACCS accounts, register digital signatures with customs, and clear their first shipments safely.
